From Excel and Google Sheets to a real database: the right moment to switch

Spreadsheets run most small businesses until they break. Here is how to tell when it is time for a proper database or app, what the switch involves, and how to do it without losing a single row.

Excel and Google Sheets are the most successful business software ever made, and they are where most small companies keep customers, orders, stock and staff. They fail in predictable ways: two people editing at once, formulas nobody understands, and a file that is emailed around in five versions. A database with a simple app on top fixes this. Timing matters.

Signs the spreadsheet has reached its limit

  • More than two people update it regularly.
  • You have tabs named "final", "final2" and "use this one".
  • Lookups between sheets break when someone inserts a row.
  • Customers or staff need to see only part of the data.
  • You need history: who changed what and when.

What replaces it

A database with a small web application: forms for entry, lists with filters, roles so people see what they should, and reports. For many businesses this is a CRM, an inventory tracker, an order system or a student record system. Acquiretech builds these as web applications from ₹25,000, or configures an existing open-source tool when one fits.

Migrating without losing data

  1. Profile the sheets: columns, blanks, duplicates, inconsistent spellings.
  2. Agree what each field means and which rows should not move.
  3. Clean and map the data, with rules for duplicates written down.
  4. Import into a test system and reconcile counts and samples.
  5. Freeze the spreadsheet, do the final import, and switch the team.

Data migration is quoted on volume and messiness. A few thousand rows across a handful of sheets is a small project.

Keep the spreadsheet where it helps

Spreadsheets remain excellent for analysis. Most systems we build can export to Excel or connect to Google Sheets for reporting, so the people who love pivot tables keep them.

Frequently asked questions

Can we keep using Google Sheets as the entry screen?

Sometimes. For very small teams a sheet connected to automations is enough. When multiple people and roles are involved, a proper form is safer.

Will staff need training?

A well-built app is simpler than the spreadsheet it replaces, because it only shows what each person needs. A short handover call is usually enough.

What about historical data?

It moves with the migration, including dates and notes, and stays searchable.
