Custom CRM vs Zoho vs HubSpot for a small Indian sales team
Zoho, HubSpot or a custom CRM? For a sales team of two to twenty people in India, the right answer depends on per-seat cost, how unusual your process is and who will own the data.

Every growing business reaches the moment when leads in WhatsApp, Excel and three people's heads stop working. The usual options are a subscription CRM such as Zoho or HubSpot, or a custom CRM built around your own process. Each is right for a different kind of team.
When Zoho or HubSpot is the right choice
- Your sales process is standard: lead, call, quote, close.
- You want email marketing, forms and reporting in one place today.
- Your team is comfortable learning a large product and ignoring most of it.
- Per-seat pricing is acceptable, which for ten users can be ₹1 to ₹3 lakh per year on paid tiers.
HubSpot's free tier and Zoho's lower plans are generous for very small teams. The costs appear when you need automation, custom fields in bulk, or more users.
When a custom or self-hosted CRM is the right choice
- Your process has stages that do not fit a template: site visits, inspections, samples, approvals, instalments.
- You want to stop paying per seat as the team grows.
- Your leads come mainly from your website and WhatsApp and you want them captured automatically with no manual entry.
- Data residency or ownership matters, so the database must sit on your own server.
Acquiretech builds and hosts CRMs on open foundations such as EspoCRM with a custom workspace on top, so you get a tailored pipeline, automatic website lead capture, round-robin assignment, follow-up reminders and reporting, without per-user fees. CRM integration starts at ₹10,000 and a full custom workspace is quoted as a web application.
A simple decision test
- Write your sales stages on paper. If a template covers them, start with Zoho or HubSpot.
- Count users in twelve months. Multiply by the per-seat price. If that number hurts, a self-hosted CRM pays for itself quickly.
- List integrations you need now: website form, WhatsApp, email, invoicing. Custom integrations are easier on a system you control.
What a good CRM must do regardless
- Capture every website and WhatsApp lead with the source and the need.
- Assign each lead to a person with a due date for follow-up.
- Show managers what is overdue and what is likely to close.
- Keep history so a new salesperson can pick up any account.
Frequently asked questions
Can we start with Zoho and move to a custom CRM later?
Yes. Export leads, contacts and deals as CSV, map the fields and import. Acquiretech handles CRM migrations with validation and a trial run before the switch.
Is a self-hosted CRM secure?
Yes, when hosted properly with HTTPS, access roles, backups and updates. We set this up and document it as part of delivery.
How long does a custom CRM take?
A configured self-hosted CRM with website capture can be live in one to two weeks. Deeper customisation runs in short releases after that.
